Let’s do a quick thought experiment together…ready?
Your office manager just gave you her two-week notice. And there’s nothing you can do to change her mind.
How do you feel?
Are you anxious about who’s going to pick up the slack when she’s gone?
Worried that you’ll never find someone good enough to replace her?
Scared that you won’t be able to keep it all together?
All of the above?
Oftentimes, fear is the result of the unknown.
When we don’t understand a situation, we feel out of control. And when we feel out of control, our minds trick us into believing that the worst-case scenario is far more probable than it actually is.
If the thought of unexpectedly losing your office manager makes you nervous, then you probably don’t have a clear understanding of what they actually do for you on a daily basis.
You overcome fear by clarifying expectations.
A job description is a useful tool for clarifying the roles and responsibilities of everybody on your team (including you!).
For an office manager, it would typically include three elements:
- Interpersonal: Manage the relationships with patients, your staff, vendors, and other business advisors.
- Informational: Organize, maintain, and supply patient records and financial data.
- Decisional: Help make day-to-day business decisions on behalf of the doctor.
Figure out exactly what they do for you, and then write it down.
